selection process differs a little from country to country. basically its the same. As for India its One interview with Subject expert and one with embassy. as there are too many applicants and the competition is very tough. so they divide the overall process in 2. countries where there are less applicants might have only 1 interview

i see, thank you for ur answer..... how many people do apply in India aprox? here in peru we were 130 this year for the language test an around 24 for the interview

Received call from embassy today, I got embassy nomination on my 3rd attempt. Hope I also get the final YES from Tokyo. :)

Congratulations!! :) I think you're doing Japanese Linguistics right? Read somewhere on posts here before, I lurked a lot LOL. Anyway, have you always been applying for Ph. D those 3 times? Good to know they give people chances!

Are you going straight for Ph. D? or "research student" first?

Anyway hope all of us get nice results!! :)

Emailing profs soooo hardd......................... but gotta do my best!

In India, The Ministry of Human Resource Development, Govt. of India, calls applications for the scholarship in various subjects, and around 700 - 800 (the number varies every year) applications are received every year, after which an initial screening is done which considers the academic background (grade in university etc) and research proposal. after which they call applicants for language test and interview with subject expert. For which they call around 150 candidates who have applied for different subjects. this year it was 166 candidates. after this around 50-60 candidates are called for 2nd round of interview, for out station candidates 2nd round of interview and 1st round interview are held on same day. And after all these rounds, those who pass (around 30 applicants) get the embassy nomination. This year I became one of them. hopefully I pass the last stage also.

Hey! Congratulations! This is my third attempt too, your efforts are worth these 3-years. I hope I will be fine with the test too.

In Thailand, once you pass interview and got the embassy nomination, you are unofficially able to declare your victory! I have never heard about somebody got dump after being nominated. I supposed that in India will not be different from here.

Thank you ipoppo, practically this was my 4th attempt for MEXT scholarship. In my very first attempt after during my graduation I applied for the junior scholarship (for Japanese studies/language one year certificate course), and I was nominated for that scholarship. but bad luck, I was not able to make in the final list. and these 3 years I applied for senior scholarship, and this year I again got nomination, so I can proudly say that this is the result of my 7 years effort.

Yah, even my prof said that those who get nomination get final selection also. But since last year the Embassy people started giving us a word of caution that there may be a chance that you might not get final OK. So keeping my fingers crossed. though I am happy that I got nominated twice.

Embassy nomination in other countries is as good as OK already? Hmmmm I don't think it was ever like this in the Philippines. That's why until now I am not confident yet....I feel like there is so much I gotta do and prepare for. :/

Has everyone found a professor that said yes already? Time is sooo ticking!!!

Thanks mitch2526. Yes I am a Japanese language and literature student. I will first go for Research student and then for Ph.D.

do they tell you the same thing this year?(their word of caution)

@kouun9
actually i'm applying to the college of technology program, but i heard they reduced the research student applicant quota dramatically this year (in Indonesia, as it happen on the other countries)

i can just hope that they wont cut the College of Technology quota anymore. Last year was horrible (they reduced the quota to half)

you guys all talk about how those who passed the FIRST screening are reduced?

so, most of you have this belief that those who passed the first screening are generally okay?

Btw based on this thread I think countries with first screening finished are: Phil., Malaysia, and India, i think. How about the others? How are you all doing?

yes, but it all changed last year
they've got their total monbusho scholars reduced by 11% last year (as according to flidar's thread)
in Indonesia, those applying to College of Technology Program would have a very high rate of acceptance (80-90%) after the 1st screening. Last year, Less than half were accepted. I heard they're also reducing the quota for Research Student Program (usually 45 person were successful, last year it was 20++)
I think we've also finished the 1st screening for Research Student Program here (in Indonesia) as the embassy told me that they'll inform the result for College of Technology in around next week

yay, i did it on the exam (^__^)
does anyone have some tips about the interview, gotta remember why i failed last year
i noticed too that they reduce number of interviewees. But i think the proportion between interviewees and final candidates didn't change so much since the number of quota students is also reduced.

Document from Embassy

Have you guys received your documents from the Embassy??

Mine is.... LACKING

I mean, i have the primary screening, the application documents, but they did not return the Transcript of Grades, the Graduation Certificate, nor my Thesis Abstract!!!

What's more is, they only put seal on the 1st page of everything.

How are your documents?? I called up the embassy and the lady, washes her hands saying "It's not really required... We do that every year."

Can you tell me what state your documents are??

Thanks everyone.........

Yes they removed some documents in my case and my friends case also. So its should not be a matter of concern.

btw, How is the search for Professors going, mine are not answering my mails as of yet. It feels scary

Really? I have the impression now that it depends on the university. I am asking Waseda, and they are telling me that for them, they would like to see my transcript of grades with seal. So I have to go to my embassy to tell them my situation and hope they give me a copy.... I understand Waseda since the grades really are important of course.... What university/s are you applying to?

I emailed 20 profs so far, and those who replied told me that the research area is a bit different, and gave names of others. :( I am trying to understand that they are all on vacation now, so I am hoping one or two will reply positively soon.

@ipoppo, they are most interested in your research, so as long as you can talk about it in 5 minutes, very clearly, you shall be okay. and if u dont have any prior japan experience, they will ask how u can handle living there. those things. it will be average around 20 min, not much to talk about. go there in a suit, for a good impression.

Yah, I too applied to Waseda and they said they need the documents sent by Airmail, 2 copies of all documents. Till now I have applied to almost 18 Profs. and 1 said its not directly related to his area, 1 is going abroad for 1 year so he cant accept me, 1 said she will not take Foreign students for personal reasons, 1 said he will have to confirm it from his office first and has not replied yet, others have not replied yet. My friends said, it happens as summer vacations have started and in some univs. they have to prepare result also, so they must be busy, they will reply within one week. hope they do so. :)

New Here!!!

Hi, can you tell me how exactly you are approaching to the professors. I mailed only few so far and none of them replied. so i am a bit of tensed. I attached my CV in mail and in the body i just told them i am interested to join their lab. i did this before receiving the scholarship confirmation so could not mention much about this. It would be a great help if you could suggest any other good way to write them first mail. Should i include my research details in the very first email???
Thanks in advance

Congratulations Neuro, first of all search for professors through university website, find professors who are related to your research, university websites usually have their email address, if its not there send your mail to the International Student Center of that university and request them to forward the mail to the prospective supervisor. You need to attach the Pass Certificate which u get from embassy, your application form, ur research proposal in the mail (I am attaching scanned copies) and keep the original with you (some university will ask you to send the documents through airmail also), in mail you just mention that you have cleared the Embassy screening and want to join their lab, and just briefly mention your topic in 2-3 lines. Please don't write the whole proposal again in mail, as its already mentioned in your Proposal. If your professors wants some more details he/she will ask it. As its Summer vacation and exam time. the reply might take some time, 2-3 days to 1 week. so be patient, and start approaching soon. All the best.

btw, I am having a terrible time with my replies, half of them have refused as they have "no confidence", "have done less research work in my area", etc etc as reasons to decline my request. I am in dilemma what will I do if no one accepts me. :?

Congratulations Joujou85, yes why not. you can send requests to more then 3 universities. as long as the Prof is related to ur field. and I think the application form u have mentioned needs to be filled after u get LOA. In India, its like that, after we get LOA's we need to fill it according to our choices, later.

@ kouun9, Really thank u very much for ur reply.
BUT please tell me, what if I send my application to another university and that university sees that I have already chosen 3 universities? That other university would reject me and say that I only sent them my document because I haven't got a LOA yet. What do u think??? please help me Dost!!!

@Joujou85, in India, the form you are talking about is the last one to be filled after you get LOA's from prospective supervisors. It must be different in other countries. But one thing I am clear about is, a University can't give us admission in any course until we get a LOA from a professor, so indirectly its the university which chooses us and not we. So even if you want to enter suppose The University of Tokyo, you can't enter it until you get an LOA from a professor there. So even if you have Tokyo university as one of your options, you cant enter it without an LOA. All universities know that students apply to many universities, as getting LOA's is difficult. I think you dont need to send that particular form. You can please confirm it from the Japanese embassy in your country in this regard.

and btw, Professors from Japan are kind and know that foreign students have no other option but to apply in many universities. and giving an LOA does not mean that they are giving us admission. so there is no chance of rejecting a candidate. Finally, more than us its the University, the Professor, the Department who/which benefits more in getting a foreign student then us. So first confirm it from Embassy and apply.
